This Privacy Policy describes how Bare Bone Outdoor Services LLC (“we,” “Company”) collects, uses, and protects information provided by users of the bareboneos.com platform. By creating an account or using the Platform, you agree to the practices described here.

1. Information We Collect

Account information: Full legal name, email address, phone number, role (hunter/landowner/guide/portfolio operator), and password (stored as a bcrypt hash — we never store plaintext passwords).

Role-specific information: Texas Hunting License number (hunters), HIP certification status (hunters), Federal Duck Stamp status (hunters), property county and authorization type (landowners and guides), species specializations and service counties (guides).

Booking information: Hunt dates, group size, property accessed, payment amounts, booking status, and booking communications.

Payment information: Payment processing is handled entirely by Stripe. We do not store credit card numbers, bank account numbers, or SSNs on our servers. Stripe may collect and store payment data per their own privacy policy.

Communications: Email addresses and phone numbers are used to deliver transactional notifications (booking confirmations, reminders, contact release). We do not sell contact information to third parties.

Usage data: Standard web server logs including IP addresses, browser type, pages visited, and access times, retained for security and debugging purposes.

2. How We Use Your Information

  • To create and manage your account and verify your identity;
  • To process bookings, payments, and payouts;
  • To deliver transactional emails and SMS messages (booking confirmations, reminders, contact release, payout notifications);
  • To generate and deliver legally-required hold harmless agreements and waivers via Dropbox Sign;
  • To enforce platform rules including anti-circumvention, strike, and dispute policies;
  • To comply with legal obligations including tax reporting (1099-K processing is handled by Stripe);
  • To improve the Platform through anonymized, aggregated usage analysis.

3. Information Sharing

We do not sell your personal information. We share information only in the following circumstances:

  • With booking parties: Landowner and hunter contact information (phone number, email) is released to the other party automatically 48 hours before a confirmed hunt date. This contact release is a core platform feature that you consent to by booking;
  • With service providers: Stripe (payments), Resend (email), Twilio (SMS), Dropbox Sign (e-signatures), Supabase (database), and Mapbox (maps) receive necessary data to provide their services. Each is bound by their own privacy policies and data processing agreements;
  • With law enforcement: We will disclose information as required by applicable law, court order, or to protect the rights, property, or safety of the Company, its users, or the public;
  • In a business transfer: In the event of a merger, acquisition, or sale of the Company, user information may be transferred as part of the transaction with reasonable notice to affected users.

4. Contact Information Timing

To protect both hunters and landowners from off-platform solicitation and to enforce the anti-circumvention policy, full contact details are withheld from both parties until 48 hours before the confirmed hunt date. This 48-hour release window is a contractual feature of the Platform and cannot be waived or accelerated except by the Platform’s automated system.

5. Data Retention

We retain account information for the duration of your active account and for a reasonable period after account closure to satisfy legal obligations, resolve disputes, and enforce agreements. Booking records and financial transaction records are retained for a minimum of seven years to comply with IRS record-keeping requirements applicable to payment facilitators. You may request deletion of your account by emailing [email protected]; note that legally-required records cannot be deleted on request.

6. Security

We use industry-standard security measures including encrypted connections (HTTPS/TLS), password hashing (bcrypt), row-level security on our database, and restricted access to production systems. No security measure is perfect — you should use a strong, unique password for your account and notify us immediately at [email protected] if you suspect unauthorized access.

7. Cookies and Tracking

The Platform uses session cookies to maintain your logged-in state. We do not use third-party advertising trackers or behavioral advertising cookies. Analytics, if any, are limited to anonymized server-side usage data.

8. Children

The Platform is intended for users 18 years of age and older. We do not knowingly collect personal information from children under 13. If you believe a minor has created an account, please contact us at [email protected] and we will promptly delete the account.

9. Your Rights

You may request access to, correction of, or deletion of your personal information by emailing [email protected]. We will respond within 30 days. Note that:

  • Deletion requests cannot remove records that we are legally required to retain;
  • Correction requests will be honored where technically feasible and legally permissible;
  • You can update your name, phone, and email through your account settings at any time.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or in-platform notification before changes take effect. Continued use of the Platform after notice of a material change constitutes acceptance of the updated policy.
